Information sharing and strategy development.
NEW VACATION RENTAL SETUP
$400+HST
This service will get your listing set up and ready to accept bookings.
You also have the option for management of your listing (see Commissions below).
Includes:
Creation of one Vacation Rental site (commonly Airbnb) (*this does not include creation of a personal account. You will be responsible for setting up your account properly if you don’t already have one). Additional listing sites for the same property are $80+ per site added. Additional listings for a different property are $300+ per property added.
Shopping guide of necessary and optional items to have at the house, support & guidance for initial set up.
Creation of a Guidebook/ House Manual specifically for your home and community (this is co-created with your input and info about the home and community). I prefer to spend at least one night in the house while creating this. You will have the most comprehensive manual this way. I will spend one night there no charge to me, any more nights required will be an additional fee, plus travel expenses. Any properties outside of a 1 hour drive from my permanent residence will also have an “Off-Site” fee for days spent out of town and travel expenses.
A “Checking In/ Checking Out” sheet to post at the house to guide guests on proper procedures.
Wifi info posted at the house.
An Emergencies sheet with contact numbers and locations of emergency shut offs etc.
Cleaning list for the cleaners outlining exactly what needs to be done during each turnover.
Additional fees apply if requiring shopping, decorating, set-up, etc. Please see additional services.
Arrangement of initial clean with your selected cleaning company so the home is 100% ready to go when first guests arrive

VACATION RENTAL MANAGEMENT SERVICES
A truly “hands off” experience! We operate as the Guest Manager (entirely remotely). You will not have to worry about or think about your vacation rental on a daily basis. Your role will be only to answer questions that we have that we need your approval, pay the bills/do your own accounting annually, and provide references for services/item replacement resources if you prefer to. We would have someone else come in for maintenance, buy supplies when needed and check in on the home/do odds & ends when needed. Some people choose to pay someone monthly to be available to do that, where others pay them per use. This person needs to be available (or have their back up available) within a couple hours at all times for “emergency” needs (ex. The guests can’t get the doors to open/unlock). We offer two levels of services as follows:
Management of one vacation rental site (preferably Airbnb). For multiple sites add 3% commission to the total per extra site (ex. Airbnb & VRBO= 18%).
Handling all guest communications including inquiries, questions, comments, concerns, follow-ups and thank yous.
24/7 availability to guests during their stay via my personal phone or my personal delegate (text or phone call).
Communication with guests before arrival to provide check-in procedures and information (ie. door code, wifi etc).
Ensuring a smooth transition for check-ins and check-outs to avoid negative reviews or complaints.
Optimizing listing and pricing to maximize bookings and profits
Scheduling and coordination of all turnover cleanings.
Review of all guest stays (done within three days of receiving the cleaners feedback)
Response to guest inquiries within 12 hours and guest questions within 24 hours to maintain response rate. (Messages in the Airbnb/vacation rental system MUST remain unread by the owner for me to attend to- but can be emailed to owner to be monitoring).
Ensuring the calendar is up to date, including black out or repair dates.
Regular communication with property manager (or yourself) for property needs- ex. light bulbs, restocking items, small or large repairs, landscaping, grass cutting, snow removal.
Ensure all consumable/breakable items are restocked (ie. condiments, water bottles, coffee, tea, garbage bags, soap, toiletries, wine glasses, or any other necessities). Low levels will be reported to you or your designate for restocking. You will be responsible for purchasing these items.
Management of damage claims and payment requests (You will have to call Airbnb to approve me as a point of contact first).
I will do everything in my power to achieve Superhost status and earn 5-star reviews.
You are responsible for remote monitoring of thermostats, locks, cameras, etc. I will use these log in’s to ensure the guests are taken care of.
You are responsible for changing the door code as you prefer to, I will ensure the guests have the updated code as you provide it to me.
All services included at the 15% commission
Management of up to 3 other listing sites alongside your Airbnb listing (ex. VRBO, Trip Advisor, Canada Stays, etc) for a total of 3. Each additional listing beyond 3 adds 3% commission.
Monitoring remote thermostats, locks, cameras, etc.
Annual maintenance of the guidebook and other postings at the house, to ensure they are up to date and in good condition.
Commission Notes:
Commission is paid as a direct payout preference on Airbnb, which will occur directly to our bank account paid at the same time as your bank account. Airbnb tracks this information. Any missed payments (especially common at the start while banks are being approved) will be invoiced and due within 30 days.
Any other booking systems will be invoiced for commission on a monthly basis and payment will be due within 30 days.
Additional fees may apply for services outside of your agreed upon commission percentage payout.
Commission percentages are based on GROSS income which includes cleaning fees. We factor this in when choosing the cleaning fee amount.
Privately paid and/or trade bookings will be assigned a value and agreed upon for the proper % payout. A maximum of 5 privately unpaid bookings per year are permitted. These are not managed by Erica and therefore she does not receive any commission (personal friends etc).
The homeowner(s) are permitted to block time for personal use and no commission will be paid unless we are asked to manage anything during the homeowners stay.
Emergency house visits by Erica Mattia or my personal delegate- $20 per call plus $20 per hour if within a 20 minute radius of my home
Guidebook updates- single section $5, entire book review $40
Creation of online listing for additional sites of the same property- $80 per site
Management of online listings for additional sites – additional3% (15% commission bracket includes 1 listing, 20% bracket includes up to 3 listings)
Shopping- $20/hr
